Used Car Preparation Controller

Location: Victoria Bridge, Co Tyrone, Northern Ireland
Job Type: Full Time | Permanent
Salary: £30K – £40K (Depends on Experience)

About Us

We are a well-established, family-run dealership in Northern Ireland specialising in premium used cars and commercial vehicles. Due to continued growth within our Used Vehicle Department, we are seeking a highly organised and detail-focused Used Car Preparation Controller to join our expanding team.

This is a key operational role responsible for ensuring all used vehicles are prepared to manufacturer and company standards, cost-controlled effectively, and retail-ready within agreed timeframes.

The Role

Reporting directly to the Used Car Manager / Dealer Principal, you will oversee the full preparation process from vehicle arrival through to forecourt display and online advertisement.

You will be responsible for ensuring every vehicle is fully prepared to retail condition, and is displayed on the forecourt and online within agreed, efficient timeframes.

Key Responsibilities

  • Assess all incoming used vehicles and raise job cards in line with company preparation standards
  • Liaise daily with vehicle technicians, valeting team, and approved external repairers
  • Ensure vehicles are prepared in line with manufacturer-approved used standards where applicable
  • Control and authorise preparation expenditure within agreed cost parameters
  • Monitor and manage preparation times to support stock turn targets
  • Coordinate MOTs, servicing, warranty repairs, safety inspections, and recall work
  • Oversee cosmetic repairs including SMART repairs, alloy wheel refurbishment, and paint correction
  • Ensure vehicles are fully valeted, retail-ready, and prepared for photography in coordination with the marketing team
  • Maintain accurate and up-to-date records using the dealership DMS system
  • Provide regular preparation cost analysis and stock reports to management
  • Identify and resolve workflow delays to maintain operational efficiency
  • Manage and coordinate the workload of vehicle valeters/car cleaners

Skills & Experience Required

  • Previous experience in the motor trade (essential)
  • Experience as a Workshop Controller, Service Advisor, Used Car Controller, or similar operational role
  • Highly organised with excellent attention to detail
  • Strong understanding of mechanical and cosmetic vehicle standards
  • IT literate and comfortable using dealership management systems (eg: Navigator/Pinewood or similar)
  • Excellent organisational and cost-control skills
  • Strong communication skills with the ability to coordinate across departments
  • Full UK driving licence
